About the role

  • Provide high-touch executive administrative support to two assigned VPs in Southern Europe Region and Partnerships team
  • Manage executive calendars and daily work with some instruction
  • Coordinate and manage internal and external meetings at executive (C-suite) level, including Global Market leadership team onsite meetings and events, managing budget and stakeholders
  • Make travel arrangements for domestic and international travel and handle expense reports and purchase orders
  • Act as delegate for the executive when reviewing and approving expense reports
  • Manage room bookings and video conference facilities on site
  • Organize events for Milan/Paris/EU Partnership teams and merchant events
  • Engage and collaborate with the immediate team, peers, internal partners and CEO staff Executive Assistants
  • Follow up on action items on behalf of leaders and provide agendas, notes and meeting follow-up as needed
  • Proactively identify opportunities to increase efficiency and improve processes
  • Partner with EAs across groups to share best practices and foster cross-functional collaboration

Requirements

  • Minimum of 3 years of relevant work experience (listed under Expected Qualifications)
  • 8+ years relevant work experience supporting at the SVP or above levels in a complex and dynamic environment (listed under Experience)
  • Prior experience handling a wide range of administrative-related tasks, organizing large meetings across time zones and arranging travel
  • Demonstrated ability to work with a sense of urgency and under pressure, handling multiple tasks and prioritizing effectively
  • Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels
  • Demonstrated ability to take initiative, spot problems before they arise, find solutions, and provide timely follow-through on projects
  • Highly organized with meticulous attention to detail, adaptability, flexibility, resourcefulness and efficiency
  • Self-starter and self-directed; proactively understands executives' needs and addresses gaps and opportunities
  • High level of integrity and discretion handling sensitive and confidential information
  • Team player comfortable working within an executive assistant team dynamic and with other stakeholders and partners
  • Flexibility to accommodate leaders' global travel schedule
  • Advanced skills using MS Office applications: Outlook, Word, Excel, PowerPoint and Teams
  • Excellent communication skills (written and oral)
  • Comfortable taking direction from members of the senior leadership’s support team
  • Fluent in English; French and/or Italian a plus
