About the role

Key responsibilities & impact
  • Responsible for performing a broad range of administrative functions, including processing administration agreements, resolving counterclaims, managing departmental mailboxes, and fulfilling various ad hoc requests.
  • Ensures the accurate and timely completion of administrative processes to support departmental objectives while delivering exceptional customer service to both internal and external stakeholders.
  • Review and update client agreements, ownership data, account details, and various administrative forms within internal database systems
  • Receive, research, and respond to various inquiries via email, postal mail, and telephone
  • Effectively communicate the company’s respective policies and procedures to internal and external customers as they relate to administration, account maintenance, and copyright counterclaims/discrepancies
  • Review and manage writer and publisher affiliate catalogs to ensure the accurate distribution of royalties
  • Resolve copyright counterclaims and discrepancies
  • Research and prepare royalty adjustment requests as necessary
  • Support special projects and complete miscellaneous priority tasks associated with contract administration and agreement distribution as assigned
  • Maintain effective communication with team superiors and other team members
  • Complete miscellaneous priority tasks associated with various metadata
  • Provide support in conducting training sessions whenever required

Requirements

What you’ll need
  • A Bachelor's Degree (completed or part-completed - minimum 2 years) or equivalent preferred (or GCE A/Ls with a recognized certificate/diploma level qualification - NVQ 4).
  • 2 years of experience in BPO/Shared Services or Contract Administration.
  • Prior experience in content handling, data management, or a basic understanding of the music industry and music publishing is a strong advantage.
  • Sound knowledge and hands-on experience working with Google Sheets, Microsoft Office, and relational database systems.
  • Strong analytical mindset with excellent problem-solving, research, and investigative skills.
  • Exceptional proofreading and typing skills with a high degree of data accuracy.
  • Fluent verbal and written communication skills in the English language, with the ability to interact professionally with a diverse population of international clients.
  • An independent thinker who is self-motivated, positive, and capable of prioritizing multiple tasks simultaneously to meet tight deadlines.
  • Ability to perform well in a fast-paced, ever-changing, detail-oriented work environment.
  • Positive attitude, professional demeanor, and a commitment to cultivating a culture of diversity and inclusion.
  • Ability to work according to foreign calendars.
  • Ability to work in the overnight shift (6.30 p.m. to 2.30 a.m.).
