About the role
Key responsibilities & impact- Act as the operational right hand of the BeNeLux sales team
- Maintain the renewal calendar, flag renewals 90/60/30 days out, prepare quotes, and follow up until signatures
- Prepare order forms, NDAs, MSAs, and SoWs from approved templates and route them through Legal, Finance, and customer procurement
- Chase signatures, escalate stalled deals, and coordinate quote-to-order handoffs
- Maintain accurate CRM accounts, contacts, opportunities, close plans, dashboards, customer master data, partner portals, and supplier registrations
- Prepare weekly pipeline and forecast packs for the Head of Sales BeNeLux
- Serve as operational point of contact for Legal, Finance, Order Management, and Customer Success
- Own the end-to-end RFI/RFP/tender lifecycle from intake and qualification through planning, drafting, review, submission, and clarifications
- Run Bid/No-Bid qualification decisions and protect team capacity
- Build bid plans, coordinate contributors, manage review gates, and hold owners accountable to deadlines
- Write, edit, and quality-control proposals, including technical, commercial, reference, certification, and compliance content
- Build and maintain a reusable bid-content library
- Track bid outcomes and conduct lightweight win/loss analysis
- Document and improve sales-support and bid playbooks and repeatable processes
- Surface renewal, contract, and bid-performance trends and propose fixes
- Maintain current contract, quote, proposal, and NDA template libraries
Requirements
What you’ll need- Eligibility for NATO CLEARANCE
- 2–4+ years of experience in sales support, sales operations, bid management, or proposal management in a B2B environment
- Experience in B2B services, professional services, technology, or cybersecurity is ideal
- Demonstrable experience owning RFP/RFI/tender responses end-to-end
- Experience with public-sector or regulated-industry tenders is advantageous
- Comfortable handling NDAs, MSAs, SoWs, renewal paperwork, redlines, auto-renewals, and procurement onboarding
- Confident with CRM, ideally Microsoft Dynamics
- Office365 power-user proficiency
- Ideally exposure to proposal-management or e-signature tools such as DocuSign
- Fluent English, written and spoken, is required
- Dutch and/or French is a strong advantage but not required
- Ability to manage own calendar, deadlines, and follow-ups independently
- Comfortable working as the only person in the time zone for parts of the day
- Bachelor's degree or equivalent practical experience
- APMP or similar bid/proposal-management certification is a plus
