About the role
Key responsibilities & impact- Develop and execute program operation plans for restricted and unrestricted philanthropic funding and major grants and contracts
- Lead multiple projects simultaneously, assign roles, track progress, and ensure timely completion
- Disseminate information about program deliverables, modifications, policies, and procedures through grant kick-off meetings and cross-departmental communication
- Manage grant documentation and file storage across NMILC’s technology infrastructure
- Design improvements in NMILC’s LegalServer online case management database and Case Management Manual
- Implement grant administrative requirements, including trainings, license renewals, and personnel document updates
- Track program feedback on grant matters to inform future grant applications and renewals
- Coordinate funder communications regarding grant requirements and documentation
- Coordinate funder site visits, assign roles, and lead preparations
- Prepare grant award modifications and budget modification narratives, and coordinate submissions
- Prepare grant reports independently or collaboratively
- Track and compile program data for internal evaluation and funder reporting
- Collaborate on drafting contract-required policies
- Support internal reviews and improvements of grant management practices, processes, and policies
- Support transitioning grants management practices and data into Fluxx GrantSeeker
- Participate in and co-lead weekly Grants and Operations team meetings
- Represent the Grants and Operations teams in all-staff and program team meetings
Requirements
What you’ll need- Bachelor’s degree or equivalent combination of four years of relevant experience and education
- Strong organizational and time management skills
- Ability to manage multiple projects and meet deadlines
- Detail-oriented, with commitment to producing high-quality work requiring minimal review
- Excellent writing, research, analytical, design, and verbal communication skills
- Proficiency in Microsoft Office
- Knowledge of immigration legal services preferred
- Experience in nonprofit management or federal grant administration preferred
- Prior experience with Fluxx GrantSeeker or similar preferred
- Experience with LegalServer or similar case management systems preferred
- Passion for data collection and analysis to enhance organizational impact preferred
- Demonstrated ability to work collaboratively in a diverse team environment preferred
