About the role
Key responsibilities & impact- Lead the design, launch, and ongoing optimization of a centralized schedule template build function for clinician onboarding and schedule updates
- Define the end-to-end operating model for schedule template build requests, including intake, approval, prioritization, completion, quality review, escalation, and performance tracking
- Partner with Practice Operations, Clinical leadership, Technology, EHR implementation teams, and other stakeholders to define requirements, clinician needs, system constraints, and dependencies
- Create and maintain scalable SOPs, workflows, job aids, and team processes across markets and service lines
- Establish service expectations, SLAs, decision rights, escalation pathways, and stakeholder communication routines
- Build, manage, and develop a team of schedule build analysts
- Develop relationships with local operations teams and clinicians to gather feedback, support adoption, and improve processes
- Monitor process performance, capacity, request volume, turnaround times, quality outcomes, and stakeholder feedback
- Analyze schedule templates, operational feedback, and access/utilization trends to identify optimization opportunities
- Lead schedule template optimization initiatives with operations, clinicians, clinical leadership, and Technology
- Develop scalable processes, standards, and feedback loops for continuous improvement
- Translate operational insights into recommendations and leadership materials
- Drive projects from concept through implementation, managing workplans, dependencies, blockers, and operational handoff
Requirements
What you’ll need- Bachelor’s degree required
- Minimum of 5 years of experience in healthcare scheduling operations
- Prior people management experience required
- Experience with EHR, preferably athena, scheduling, service desk, or workflow management processes required
- Experience building or scaling a centralized operational function, shared service, or support team required
- Experience developing SOPs, workflows, business requirements, service expectations, or operational playbooks required
- Experience partnering with clinical, operational, and technology stakeholders preferred
- Experience working closely with senior leadership and cross-functional stakeholders required
- Experience optimizing supply and demand dynamics or scheduling optimization required
- Strong process design and operational implementation skills
- Proven cross-functional collaboration and requirements-definition ability
- Ability to translate clinician needs and business requirements into scalable processes
- Strong people leadership skills, including hiring, training, management, and team development
- Excellent project management skills
- Strong written and verbal communication skills
- Comfort working in systems-oriented environments and with technology teams
- Strong judgment and problem-solving skills
- Ability to build trusted relationships with operations teams, clinicians, and cross-functional partners
