About the role

Key responsibilities & impact
  • Collaborate with leadership to improve administrative processes and workflow efficiency
  • Ensure accurate data entry and record management across systems
  • Assist with client intake coordination and scheduling consultations
  • Track action items, follow up on outstanding tasks, and ensure timely completion of priorities
  • Coordinate internal and external meetings, ensuring all logistics and materials are prepared

  • Coordinate travel arrangements and scheduling needs when required
  • Organize and maintain digital files, records, and confidential information
  • Maintain accurate records and documentation within Lawmatics and other firm systems
  • Manage executive calendars and coordinate appointments, meetings, and deadlines
  • Communicate professionally with clients and team members while maintaining confidentiality
  • Support operational initiatives and special projects as assigned
  • Monitor calendars and proactively identify scheduling conflicts
  • Prepare reports, correspondence, presentations, and other administrative documents
  • Answer inbound calls and professionally handle communications from clients, vendors, and stakeholders

Requirements

What you’ll need
  • Monday through Friday, 8:00 AM to 5:00 PM EST
  • Fluent spoken, written, and comprehension skills in English are required
  • Minimum of 2 years of executive support, administrative support, customer service, or related professional experience
  • Experience supporting executives, attorneys, or leadership teams is preferred
  • Prior law firm experience is preferred but not required
  • Strong proficiency with CRM systems and business communication tools is required
  • Reliable internet connection and a quiet, professional work environment
  • Required software and tools include Lawmatics, RingCentral, Outlook Email, and Outlook Calendar
