About the role
Key responsibilities & impact- Ensure deadlines, meetings, and important commitments are properly tracked and managed.
- Monitor email communications and prioritize important matters.
- Coordinate and book meeting locations as needed.
- Manage and maintain the executive’s calendar, meetings, and daily schedule.
- Identify opportunities to improve workflows and administrative processes.
- Utilize Claude and other available tools to support reporting and data analysis.
- Maintain accurate records and information within Clio and Lawmatics.
- Handle inbound and outbound phone communications professionally.
- Track action items and ensure timely follow-up on tasks and commitments.
- Assist with administrative tasks related to appointments and scheduling.
- Create, run, and pull reports from internal systems and databases.
- Provide high-level executive support while maintaining professionalism and confidentiality.
Requirements
What you’ll need- Previous Executive Assistant experience performing similar responsibilities is required.
- Experience managing calendars, appointments, meetings, and executive communications is required.
- Experience handling administrative support in a professional environment is required.
- Familiarity with AI tools such as Claude is preferred.
- Experience using Clio and Lawmatics is highly preferred.
- English proficiency required.
