About the role

  • Complete and file forms and pleadings to initiate probate estates
  • Coordinate signatures from clients and heirs via mail or email
  • Request checks from personal injury attorneys for filing, publication, and bond costs
  • Review all received pleadings for proper signatures
  • E-file petitions and supporting documents
  • Schedule and prepare for court hearings
  • Send notices and courtesy copies ahead of hearings
  • Maintain and organize online court files
  • Save and distribute court orders
  • Track case progress in Actionstep and ensure correct workflow steps
  • Notify clients and heirs when an estate is opened
  • Order publications for claims and unknown heirs
  • Prepare annual status reports and correspondence
  • Monitor daily mail digest and respond accordingly
  • Send disallowance notices for creditor claims
  • Request court coverage via Docketly when needed
  • Respond to phone and email inquiries within 24 hours
  • Provide regular status updates to internal teams and personal injury firms
  • Report delays and track key milestones such as document filing and hearing schedules
  • Update calendars and follow naming conventions for all cases

Requirements

  • Minimum of 1 year of experience as a legal assistant, or in a legal support role and/or related Bachelor's degree in legal studies
  • Advanced English skills (both written and spoken)
  • Ability to self-manage and avoid shortcuts
  • High level of organization and accountability
  • Willingness to report errors with proposed solutions
  • Timely communication (calls returned within 24 hours)
  • Commitment to meeting deadlines and maintaining quality
  • Software: Actionstep (expert-level proficiency preferred)
  • Docketly (for court coverage requests)
  • E-filing platforms and document management systems
