  • Play a key role keeping operations smooth—managing client workflows, supporting financial processes, and internal communications
  • Develop, execute and monitor CRM workflows including onboarding/offboarding and logging interactions
  • Conduct minor research to gather contact information and maintain CRM databases
  • Track and analyze firm-wide performance metrics
  • Support accounts receivable/payable tasks including invoicing, reviewing time entries and processing payments
  • Maintain records and enter financial data using Minute7, QuickBooks Online and Excel
  • Communicate with vendors to resolve service and payment issues
  • Organize and maintain digital records, cloud storage and email systems
  • Schedule deadlines, appointments and travel arrangements
  • Assist with client intake and administrative communications
  • Coordinate client deposits, documentation and updates
  • Support marketing efforts (newsletters, ads, cards and payments)
  • Help with internal hiring, onboarding and team support
  • Organize monthly team meetings and foster firm-wide collaboration

Requirements

  • 2-3 years of experience as an Executive Assistant
  • Fluent in English (spoken and written)
  • Prior experience in administrative or executive support roles
  • Familiarity with CRM systems and financial tools
  • Strong proficiency in Microsoft Excel and cloud-based platforms
  • CRM management and workflow automation
  • Basic research and data entry
  • Financial recordkeeping and invoice processing
