About the role

  • Supervise the office specialist and office support staff (cleaning personnel, etc.).
  • Manage relationships with contractors and service providers (lease, maintenance, utilities).
  • Purchase goods and services necessary for office operations (supplies, equipment, utilities).
  • Handle procurement and coordination of corporate gifts for clients and projects (as needed).
  • Organize office space for visitors, guests, and team meetings.
  • Ensure comfortable working conditions, order, and proper maintenance of office equipment.
  • Independently organize business trips (flights, accommodation, transfers) for of 5+ employees.
  • Provide visa support (document preparation, communication with embassies/visa centers).
  • Ensure compliance with the company’s Travel Policy.
  • Review and update the Travel Policy annually to maintain its relevance.
  • Research market tools and solutions for business travel to improve logistics efficiency and optimize costs.
  • Monitor travel expenses and prepare analytical reports when needed.

Requirements

  • 3+ years of experience as an office manager, administrative manager, CEO assistant or travel coordinator.
  • Experience in managing a small team and working with contractors.
  • Proven experience in organizing business trips for groups of 5 or more employees.
  • Knowledge of Travel Policy principles and experience in implementing or updating them.
  • Strong organizational and communication skills.
  • English level: Upper-intermediate (for vendor communication and document preparation).
  • Proficiency in MS Office/Google Workspace; experience with online booking tools is an advantage.
