About the role
- Responds to all e-mail and telephone inquiries, dispensing information about holding events at our properties.
- Arranges showings and sells the venue to prospective clients.
- Writes and executes rental contracts.
- Inputs all executed contracts into our CRM Tessitura database.
- Ensures excellent planning and execution of all events.
- Communicates with clients from initial contact and booking through the day of the event, offering planning guidance and feedback.
- Communicates with all vendors regarding Historic New England rules and regulations.
- Ensures that all administrative details are completed and up-to-date, including contracts, confirmations, payments, caterers’ insurance and license documents.
- Schedules equipment and beverage deliveries and pickups.
- Schedules and supervises tent installations and removal.
- Works on site during events to monitor and resolve issues as they occur.
- Hires, schedules, and manages function associates.
- Schedules pre-and post-event custodial cleaning.
- Collaborates with Private Events Director to develop and manage functions budget.
- Works with Historic New England’s marketing team and private events director to develop and implement marketing plan in order to meet or exceed goals.
- Actively promotes and sells all Historic New England locations for private events, including but not limited to weddings, corporate events, and private parties.
- Supports Historic New England meetings and social events held at our properties.
- Meets with caterers and other vendors and with Historic New England staff to create or confirm the final plan for the event.
Requirements
- Associate’s degree in a relevant field or equivalent combination of skilled credentials with a minimum three years of professional experience.
- Demonstrated experience in presenting and selling to prospective clients.
- Ability and desire to work with the public with the highest standards for customer service.
- Must enjoy working with a variety of people.
- Requires exceptional tact, diplomacy, professional presentation, and interpersonal skills.
- Ability to multi-task and work well under stress/pressure while remaining calm and focused.
- Strong organizational skills and exceptional written and verbal communication skills.
- Fully-competent computer skills, including word-processing, spreadsheets, internet, and e-mail.
- Valid driver’s license and means of transportation.
- Strong belief in, and demonstrated commitment to, Historic New England’s mission and values.
