About the role

  • Assist the team in achieving business objectives.
  • Support the sales process by handling administrative tasks, managing samples, preparing documentation, and dealing with the customers.
  • Act as a point of contact for the sales team and customers regarding samples arrangement, documentation, and product information.
  • Samples repacking and assist in the lab.
  • Generate regulatory documentation upon customer request and dealing with Regulatory teams for the update of AFR (Ask me For Regulatory) service requests, including certificates.
  • Coordinate with internal departments (Customer Care, HR, finance, Marketing) to ensure smooth operations.
  • Manage petty cash and communicate with internal departments / vendors to ensure all necessary payment, banking, and invoices.
  • Support office administrative tasks needed for F&B.
  • Keep updating contract renewal for Office Premises, Car Rental, Office Internet, Group Insurance & Health checkup per annual.
  • Point of contact with the landlord / other vendors and to communicate with them for any issues if required.
  • Manage office supplies, equipment and furniture which are needed to be maintained, replace, or need to procure a new one.
  • Manage courier and track the shipment to be in time and properly delivered.

Requirements

  • Proven experience in a sales support, administrative and business processes.
  • Strong organizational and time management skills.
  • Good written and verbal communication in English.
  • Proficiency with Microsoft Office (Excel, Word, Power Point)
  • Ability to multitask, prioritize, and work under pressure in a fast-paced environment.
  • Team player with a proactive attitude.
  • Associate or Bachelor’s degree in Chemistry or a related scientific discipline
  • Experience with system like SAP.
  • Familiarity with sales and administration processes
  • Efficient and effective communication, prompt handling the tasks and requests.
