Office & Recruiting Operations Coordinator

About the role
Key responsibilities & impact- Coordinate recruiting operations across the talent team — own scheduling for recruiter screens, hiring manager interviews, and Farther Day panels, with clean handoffs at every stage
- Maintain data accuracy in Greenhouse: keep candidate stages updated, track notes, and flag any gaps for the recruiting team
- Provide executive support to the Senior Talent Manager and VP of People: help manage calendars, schedule internal and external meetings, and handle logistics for time-sensitive priorities
- Own the new hire onboarding experience for NYC: workspace setup, badge access, day-one welcome, and office orientation
- Manage day-to-day office operations, including supply ordering, vendor coordination, maintenance requests, and general facilities upkeep
- Support Discovery Day logistics for prospective advisors, building registration, guest access, room prep, and day-of hospitality
- Continuously look for ways to streamline processes and use technology (including AI tools) to make the team more efficient
Requirements
What you’ll need- Exceptionally organized, you don't let things fall through the cracks
- Strong communicator who can manage multiple stakeholders at once without losing their cool
- Comfortable in a fast-moving environment where priorities shift and no two days look the same
- Tech-savvy and quick to pick up new tools (Greenhouse, Google Workspace, Slack, scheduling platforms)
- Polished and professional — you're comfortable representing Farther to candidates, advisors, and executives
- Self-starter who takes initiative and doesn't wait to be told what needs to happen next
- Prior experience in recruiting coordination, executive assistance, or office management (Bonus Points)
- Familiarity with Greenhouse or another ATS (Bonus Points)
- Experience in a high-growth startup, fintech, or financial services environment (Bonus Points)
- Background in event coordination, hospitality, or client-facing operations (Bonus Points)
