About the role

  • Manage complex schedules and coordinate meetings for both the CTO and Chief of Staff, ensuring synchronization as the company grows and pivots
  • Serve as central hub for internal communication, gathering updates from four different teams and compiling executive summaries to keep leadership informed on critical initiatives
  • Act as a proactive partner who anticipates needs, identifies potential issues before they arise, and takes ownership of key projects for the office of the CTO
  • Facilitate seamless communication and coordination across Product, Design, Engineering, Marketing, and Operations teams
  • Exercise exceptional judgment and discretion with sensitive information and high-stakes communications, operating as a trusted extension of the leadership team
  • Assist in execution of strategic projects and initiatives beyond traditional administrative tasks
  • Temporarily support general office administration (5-10 hours/week) while maintaining excellence in executive support

Requirements

  • 5+ years supporting C-level executives with a track record of being a proactive partner, not just an assistant
  • Exceptional ability to anticipate needs, identify potential issues before they arise, and take initiative on complex projects
  • Thrives in fast-paced, dynamic environments where priorities shift quickly, maintaining efficiency and calm demeanor under pressure
  • Strong sense of discretion and professionalism when handling confidential information, with integrity to operate as trusted extension of leadership team
  • Expert-level calendar coordination skills, with ability to manage and synchronize schedules for multiple executives
  • Excellent communication and synthesis skills, capable of gathering information from diverse teams and creating clear executive summaries
  • Strong sense of ownership and ability to assist in execution of strategic initiatives beyond traditional administrative tasks
  • Experience in fintech, financial services, or high-growth startup environment (bonus)
  • Background supporting technical teams or product development functions (bonus)
  • Familiarity with marketing, client operations, or advisor support areas (bonus)
  • Bachelor’s degree or equivalent experience (bonus)
  • Travel coordination and event planning experience (bonus)
