About the role

Key responsibilities & impact
  • Manage meeting logistics for project, business development, and internal meetings, including scheduling, agenda preparation, and actionable minutes
  • Manage correspondence and act as a point of contact for scheduling and follow-ups on behalf of leaders
  • Assist in preparing presentations and reports for projects, proposals, and internal initiatives
  • Maintain and update templates and tools in Word, Excel, and PowerPoint
  • Support proposal and project administration, including CRM/ERP data entry and coordination with management tools
  • Coordinate travel arrangements and logistics for leaders
  • Support financial administration, including expense reports, timesheet coordination, and invoice tracking
  • Support the organization and execution of internal team activities and events
  • Work with project, business development, and internal leaders across the country to support the national Transportation team

Requirements

What you’ll need
  • Minimum 1–2 years of experience working within project teams, office administration, business development, and/or proposal teams is required
  • Experience in the Architecture, Construction, Consulting, and/or Engineering industry is strongly preferred
  • Proficiency in Microsoft Office Suite, CRM systems, and bid management tools
  • Strong organizational, attention-to-detail, and analytical skills
  • Comfort working with numbers and financial data entry
  • Excellent written and verbal communication skills
  • Ability to work independently and multitask in a fast-paced, deadline-driven environment
  • Proactive, self-starting approach and ability to anticipate needs
