About the role

Key responsibilities & impact
  • Manage post-award activities for an assigned portfolio of grants and contracts within one or more organizational units
  • Regularly review, reconcile, and project award finances
  • Prepare award budget adjustments and corrections
  • Prepare financial reports and ensure financial requirements are met at award closeout
  • Provide high-quality customer service to faculty conducting sponsored research
  • Ensure adherence to quality standards, policies, and award regulations
  • Work with post-award specialists to solve problems, answer questions, and provide guidance
  • Define account establishment parameters upon award acceptance, including billing and reporting requirements, budget, and cost-sharing obligations
  • Set up awards in the financial system and distribute award information to PIs, co-PIs, relevant staff, and other RAS units
  • Coordinate payroll adjustments for budgeted and cost-sharing positions
  • Review and reconcile award expenditures and budgets; project and forecast future expenditures
  • Manage budget, reporting, and compliance timelines throughout the grant or contract lifecycle
  • Communicate with PIs regarding budget and expense adjustments and revisions
  • Complete sponsor financial reports and monitor compliance with agency and University regulations
  • Assist PIs with non-financial report submissions
  • Coordinate and submit requests for no-cost extensions, carryover, rebudgeting, changes in scope, and other award changes
  • Facilitate approval of subcontractor invoices
  • Review effort reports and manage the quarterly effort certification process
  • Apply federal and University rules to effort allocation for individuals compensated from federal awards
  • Assist with transferring awards out of the University
  • Close out funded projects according to University processes and timelines
  • Report directly to the Post-Award Manager

Requirements

What you’ll need
  • Bachelor's degree and three years of experience related to grants and contracts management OR an equivalent combination of education, training and experience
  • Knowledge of federal rules and regulations / terms and conditions relating to research grant and/or contract activity
  • Proficiency with MS Office Suite software
  • Knowledge of the PeopleSoft Financial System preferred
  • Experience at a large research institution with high volume and complex awards preferred
  • Experience with NIH post-award management duties preferred
  • Strong service orientation
  • Excellent time management and multi-tasking skills
  • PeopleSoft experience strongly preferred
  • Ability to develop and maintain positive and productive relationships with faculty, staff, partners, and other stakeholders
  • Willingness to understand the Office of Research Administration research enterprise to support seamless service to PIs
  • Demonstrated flexibility and ability to respond to changing circumstances and expectations
  • Problem solving and critical thinking skills
  • Successful pre-employment screening, which may include INA and criminal background checks, work history, academic credential, license and certification verification, drug screening, health assessment, and vaccination review
  • Updated COVID-19 vaccinations may be necessary for specific research projects
