About the role
- Be the first point of contact—answer calls, manage emails, and greet clients with warmth and professionalism.
- Schedule client appointments and coordinate care to ensure seamless support.
- Maintain compliance with charts, insurance billing, and office documentation.
- Work collaboratively with our team.
- Submit insurance claims (primary and secondary) accurately and in a timely manner.
- Review and resolve rejected/denied claims.
- Manage aging reports and follow up on unpaid claims or denied claims and work with insurance companies to resolve discrepancies.
- Monitor claim status and ensure timely reimbursement in accordance with payer timelines.
- Handle patient billing inquiries and provide clear and compassionate explanations regarding account balances.
- Assist with audits, reporting, and month-end reconciliation as needed.
- Make calls to collect patient co-pays/co-insurance.
- Verify patient insurance information and eligibility.
- Post insurance and patient payments.
- Send patient statements and respond to billing inquiries.
- Maintain HIPAA compliance and confidentiality.
- Collaborate with clinical and admin teams on documentation and coding best practices.
- Perform other duties as assigned by Clinic Director.
Requirements
- Bachelor’s degree required (Healthcare Administration, Business, or related field preferred)
- 2+ years of medical billing experience, preferably in mental or behavioral health
- Strong knowledge of CPT, ICD-10, and EHR/PM systems (Valant preferably)
- Proven proficiency with both private insurance and Medicare billing
- Familiarity with BCBS, IBX, Aetna, United, Cigna, Optum, Medicare and other major Pennsylvania payers
- Hands-on experience contributing to the full revenue cycle
- Comfortable working with billing software, clearinghouses, and electronic health record (EHR) systems
- Ability to manage multiple tasks in a fast-paced healthcare environment
