About the role
- Be the first point of contact—answer calls, manage emails, and greet clients
- Schedule client appointments and coordinate care
- Maintain compliance with charts, insurance billing, and office documentation
- Work collaboratively with our team
- Submit insurance claims accurately and in a timely manner
- Review and resolve rejected/denied claims
- Manage aging reports and follow up on unpaid or denied claims
- Monitor claim status and ensure timely reimbursement
- Handle patient billing inquiries
- Assist with audits, reporting, and month-end reconciliation
- Make calls to collect patient co-pays/co-insurance
- Verify patient insurance information and eligibility
- Post insurance and patient payments
- Send patient statements and respond to billing inquiries
- Maintain HIPAA compliance and confidentiality
- Collaborate with clinical and admin teams on best practices
- Perform other duties as assigned by Clinic Director
Requirements
- Bachelor’s degree required (Healthcare Administration, Business, or related field preferred)
- 2+ years of medical billing experience, preferably in mental or behavioral health
- Strong knowledge of CPT, ICD-10, and EHR/PM systems (Valant preferably)
- Proven proficiency with both private insurance and Medicare billing
- Familiarity with BCBS, IBX, Aetna, United, Cigna, Optum, Medicare and other major Pennsylvania payers
- Hands-on experience contributing to the full revenue cycle
- Comfortable working with billing software, clearinghouses, and EHR systems
- Strong communication skills
