About the role

Key responsibilities & impact
  • Our sales team is constantly active: customer inquiries, proposals, tenders, events, acquisition campaigns, community building.
  • You ensure everything runs smoothly in the background — data is maintained, tasks are tracked, communication flows — and you actively contribute to campaigns and acquisition.
  • You work closely with Jens (Head of Sales) and provide operational support to the entire team where needed: Active acquisition — you proactively contact potential customers by phone, email, or at events — and consistently advance leads.
  • Account management & upselling: You maintain contact with existing customers, identify growth opportunities, and prepare the necessary materials.
  • CRM maintenance (HubSpot): contacts, deals, tasks, follow-ups — reliable, structured, and organized so the team always has a clear overview.
  • Preparing customer meetings: You produce cost estimates, short presentations, and meeting notes.
  • Research & lead qualification: You research potential customers and prepare the findings.
  • Internal coordination: You ensure offers and projects are initiated smoothly across the company.
  • Processes & automation: You develop and maintain workflows to automate recurring tasks.
  • CIVORA user community: coordinate meetings, invite participants, and prepare content.

Requirements

What you’ll need
  • Completed commercial or vocational training — for example as an office management clerk, industrial clerk, or wholesale and foreign trade clerk — or a degree with a business administration focus (e.g., Business Administration, Economics, Communications Management).
  • Initial experience in direct customer contact — by phone, email, or at events.
  • Strong communication skills and a good sense of who needs which information when — and in what tone.
  • Structured, independent working style — even when juggling multiple tasks at once.
  • Experience with CRM systems (HubSpot or similar) — you know how to maintain clean records and map processes.
  • Daily use of Microsoft 365: Teams, Outlook, Word, Excel, PowerPoint — proficient, not just occasional.
  • Excellent German, written and spoken (C2) — you produce formal documents, not short messages.
  • Business-fluent English (C1) — you communicate confidently with international partners, both written and spoken.
