About the role
Key responsibilities & impact- Receive and process referrals directly from clients' insurance using established protocols
- Review and ensure all client information is complete and up-to-date
- Update insurance information for existing patients
- Call patients with insurance authorization to schedule sessions
- Answer phone calls professionally, respond to inquiries, and resolve complaints
- Identify patient needs, resolve issues, and provide effective solutions
- Handle and resolve service-related complaints
- Identify and escalate priority issues to senior management
- Fill out call notes, update reports, and maintain the team’s database
- Obtain and evaluate relevant data to handle complaints and queries
- Engage in ongoing training and research on therapists' specializations and availability
- Keep relevant information about services updated
- Ensure internal billing documents, including charge slips and progress notes, are up-to-date
- Efficiently switch between multiple programs within the database
- Communicate assertively and respectfully with therapists to ensure excellent customer service
Requirements
What you’ll need- Medical office experience and proficiency in multitasking within a medical office environment
- Demonstrated experience providing compassionate service to patients
- Excellent telephone, texting, and email etiquette
- Exceptional written and verbal communication abilities
- Familiarity with front office procedures and insurance verification processes
- Basic knowledge of medical terminology and procedures related to insurance companies, HIPAA, and PHI
- Experience with electronic medical records systems
- Proficiency in MS Word, Excel, Google applications, and general computer skills
- Ability to quickly learn and adapt to new software programs
