About the role
- Organize trade shows, forums, lectures, conferences, conventions, award ceremonies, seminars, ceremonial events, webinars, cocktail receptions, meetings, business fairs and other events in-person, online or hybrid.
- Co-develop event briefings and related materials; analyze debriefings and prepare technical and commercial proposals for events and travel.
- Prepare and maintain the annual commercial events calendar.
- Source, negotiate and contract suppliers for national and international events.
- Execute full event logistics including supplier development, promotional items, stand layout, etc.
- Create and coordinate complete incentive travel itineraries for corporate groups – domestic and international.
- Conduct site visits with the team and coordinate travel and all planned on-site activities.
- Quote and negotiate all services required for incentive travel by air or land (airfare, accommodation, tours, restaurants, insurance and transportation).
- Monitor departures and arrivals and control costs.
- Coordinate teams at events (external/third-party staff).
- Prepare and analyze post-event reports using internal participant satisfaction surveys.
- Brief and approve the creative and operational concept of events with agencies and stand builders.
- Coordinate internal processes with procurement, logistics, finance, legal and other partner departments.
- Reconcile, verify and close post-event or post-trip financial reports.
Requirements
- Experience in events (various sizes) and incentive travel for corporate clients (domestic and international).
- Proficient with Microsoft Office, with emphasis on Excel – experience using the Inteegra platform is a plus.
- Flexible working hours to accommodate events and domestic or international travel when required.
- Knowledge of hotel operations, airline networks and passenger transportation.
