About the role
Key responsibilities & impact- Procure and manage stationery, office supplies, and computer equipment
- Provide general office support, including answering telephone enquiries and processing postal mail
- Liaise with office building management to ensure effective office operations
- Liaise with outside vendors for office maintenance and IT projects
- Plan and execute company events, including scheduling, catering, supplies, activities, and preparation
- Support the Chief Marketing Officer as needed
- Prepare onboarding and organize welcome packs for employees in the Americas
- Manage and reconcile the company credit card
- Serve as the US point person for the Finance team
- Manage and execute Work Health & Safety requirements
- Manage Americas asset and tagging
- Support day-to-day office operations and create a positive, organized office experience for employees and visitors
Requirements
What you’ll need- 3+ years of experience as an office administrator, preferably in a similar role at a fast-paced, growing company
- Knowledge of Office 365: Outlook, Word, Excel, SharePoint, PowerPoint, and Teams
- Attention to detail and accuracy
- Superior oral and written communication skills
- Effective interpersonal skills to interact with employees at all levels
- Ability to manage and prioritize multiple projects simultaneously
- Strong work ethic and ability to operate autonomously and with discretion when handling sensitive and confidential information
- Experience managing company credit cards, purchasing, and expenses
- No-ego, can-do attitude and ability to remain calm and proactively anticipate needs
- Ability to cultivate a positive, team-oriented culture in the Portland office
- Demonstrated values of excellence, courage, innovation, integrity, and teamwork
- Availability for a part-time schedule of 20 hours per week
