About the role
Key responsibilities & impact- Deliver all Client Services Administrator duties to a consistently high standard
- Act as a subject matter expert for key client lifecycle processes, including Letters of Authority (LOAs), data updates, existing policy schedules, client retention, reallocations and offboarding activities
- Handle complex and escalated client queries professionally and efficiently
- Support colleagues with procedural guidance and best practice
- Assist with onboarding, training and mentoring of new starters
- Contribute to training materials, guides and process documentation
- Perform quality checks on administrative output and identify trends or areas for improvement
- Manage complex information gathering, provider chases and detailed client cases
- Support operational improvement initiatives and project work across the department
- Provide cover for colleagues and support the Team Leader during peak periods
- Prepare and coordinate pre-meeting information and client documentation
- Support meeting bookings, client correspondence and administration throughout the client lifecycle
- Work closely with Financial Planners, support teams and key stakeholders to deliver an exceptional client experience and operational excellence
Requirements
What you’ll need- Previous experience within a Financial Planning or regulated environment
- Excellent organisational skills and high attention to detail
- Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook (Office 365)
- Confident in handling varied client interactions, with empathy and professionalism
- Strong written communication skills, with the ability to produce well-presented documents
- Capable of managing multiple tasks and prioritising workload effectively
- Able to handle sensitive and confidential information with discretion and professionalism
- Working towards, or interested in studying, Financial Planning qualifications
- Previous experience supporting or coaching colleagues
- Ability to identify inefficiencies and support continuous improvement
- Strong problem-solving mindset and confidence handling escalated client queries
- Competency using CRM systems, preferably Intelligent Office
- A minimum of 5 GCSEs at Grade A-B (or equivalent) including Maths and English
- Any offer of employment subject to satisfactory completion of pre-employment vetting as outlined by the Financial Conduct Authority (FCA), potentially including adverse financial history, criminal records, UK directorship and disqualifications checks
