About the role
Key responsibilities & impact- Own complex calendar management across multiple time zones for the Director and key leaders
- Triage meeting requests, resolve conflicts, and protect deep-work blocks
- Coordinate recurring leadership cadences, including 1:1s, staff meetings, skip-levels, and cross-org reviews
- Draft, proofread, and route executive-level communications
- Serve as a trusted liaison between the Director and internal/external stakeholders, partner organizations, and external vendors
- Handle sensitive HR, compliance, and vendor information with discretion
- Plan domestic and international travel, including agendas, ground transport, and contingency planning
- Manage expense reports, reconciliations, and corporate card compliance
- Plan and execute offsites, workshops, and town halls
- Prepare agendas, pre-reads, and materials; capture decisions and action items; drive follow-through
- Coordinate AV, catering, room booking, and remote-participant experience
- Track action items, OKRs, and initiative status across the EID portfolio
- Support contractor onboarding/offboarding logistics and access provisioning coordination
- Assist with performance review logistics, talent reviews, and team events
- Maintain org charts, distribution lists, SharePoint/Confluence spaces, and team playbooks
- Support PO creation, invoice tracking, and vendor onboarding workflows
- Partner with Finance on budget tracking, reforecasts, and quarterly reviews
Requirements
What you’ll need- 5+ years of executive administrative experience supporting Director-level or above leaders
- Experience ideally in technology, financial services, or a regulated enterprise environment
- Mastery of Microsoft 365, including Outlook, Teams, PowerPoint, Excel, and SharePoint
- Proficiency with Slack, Confluence, and Jira
- Strong written and verbal communication skills and ability to draft executive-level correspondence
- Ability to manage multiple competing priorities under pressure with high accuracy
- Discretion handling confidential, regulatory, and personnel information
- Proficiency with corporate travel and expense systems such as Concur or equivalent
- High school diploma required
- Prior financial services, payments, or similarly regulated-industry experience preferred
- Familiarity with agile ceremonies, release calendars, on-call schedules, and incident communications preferred
- Working understanding of SSO, MFA, and OAuth preferred
- Experience supporting a manager with side ventures and personal LLCs preferred
- Bilingual English/Spanish is a plus
- Notary public certification in Florida is a plus
- Employment eligibility to work with American Express in the United States required; no visa sponsorship
