About the role
Key responsibilities & impact- Serve as a primary resource to staff throughout the contract/subcontract/subaward lifecycle (which includes supporting drafting and review, execution, modifications, tracking, and closeout)
- Assist staff in selecting appropriate templates, and when necessary, drafting new templates in consultation with ABC’s General Counsel
- Review priority and complex or modified contracts/subcontracts/subawards, MOUs, NDAs, and related agreements to ensure compliance with ABC policies, federal and state regulations, and donor requirements
- Review funder agreements to identify flow-down provisions and ensure appropriate incorporation into downstream agreements
- Occasionally interact directly with institutional funders to resolve contracting matters, in collaboration with Development
- Assist staff in assessing risk factors
- Maintain organized, auditable files and work with ABC’s database specialists to ensure accurate tracking of details relevant to contracting (key dates, deliverables, compliance requirements, and payment schedules) in our centralized finance and grant management system
- Serve as a resource to Project Managers during procurement processes for goods and services, including providing guidance on collecting bids, purchase documentation, vendor selection requirements, and subaward issuance
- Provide visibility for staff into the contracting process, keep everyone on task, and move the necessary contracting steps forward
- Support purchasing compliance by providing staff training and through reinforcing internal policies and documentation standards
- Maintain working knowledge of federal regulations (including Uniform Guidance), state requirements, and other public and private donor policies affecting subcontracts and subawards
- Update and maintain subcontract and subaward templates in consultation with legal counsel to reflect regulatory or policy changes
- Participate in relevant external trainings to ensure up-to-date regulatory knowledge
- Support audit readiness by ensuring documentation standards are consistently applied
- Act as liaison between Conservation Programs, Development, Finance, and external stakeholders to streamline workflow and improve effectiveness
- Collaborate with Development and Finance to align contracts/subcontracts/subawards with approved budgets and payment structures
- Provide training, guidance, and written materials to staff regarding contract, subaward, and procurement processes and best practices
- Identify bottlenecks or inconsistencies in contracting and procurement processes and recommend improvements to strengthen transparency, efficiency, and compliance
Requirements
What you’ll need- Bachelor’s degree and at least five (5) years’ experience in nonprofit contracts and particularly subcontracting and subawarding funds of federal origin, or a combination of relevant education, training, and experience
- Experience with and knowledge of Federal and non-Federal grant regulations, Uniform Guidance, and agreement terms and conditions
- Experience with procurement processes (requests for bids, cost analyses, etc)
- Demonstrated experience reviewing and coordinating grants, contracts, MOUs, NDAs, and subaward agreements
- Ability to navigate complex agreements efficiently and distill key requirements for program staff
- Strong analytical skills and professional judgment
- Experience managing multiple workflows and deadlines in a dynamic fast-paced environment
- Excellent organizational, written, and oral communication skills
- Ability to collaborate across divisions and work with individuals at all levels of the organization
- Proficiency with computers and software, including Excel; experience with NetSuite/PyanGo systems preferred
- Ability to work independently, efficiently, and accurately while maintaining deadlines
- Ability to maintain confidentiality of donor and organizational information
- Strategic thinker with a systems-oriented mindset
- Experience working in conservation is considered a plus
- Sense of humor appreciated
