About the role
Key responsibilities & impact- Welcome visitors, accept deliveries, provide information to callers, route callers, and distribute mail
- Maintain calendars and scheduling for business units and teams
- Create, update, and maintain documents, reports, files, presentations, graphs, spreadsheets, and mailing lists using Microsoft Office
- Perform data entry into applicable platforms
- Coordinate staff travel and lodging
- Respond to customer, supplier, vendor, and public inquiries
- Troubleshoot office equipment issues and support staff
- Transcribe meeting minutes
- Provide backup support for other administrative assistants
- Assist with accounting processes, credit card reconciliations, deposits, check requests, invoices, data collection, preparation, and reporting
- Prepare and disseminate surveys and compile information
- Recommend and coordinate office product and service vendors
- Assist with facility management coordination
- Provide USPS and FedEx shipping support
- Coordinate logistics for corporate events, workshops, and social activities
- Assist with event marketing and process registrations
- Negotiate, secure, and coordinate event venues and catering
- Prepare and distribute event and workshop materials
- Ship materials for off-site trainings, events, and conferences
- Greet guests, direct attendees, prepare catering, and communicate with event participants
- Attend offsite events or workshops as needed
Requirements
What you’ll need- High school diploma with 2+ years of administrative support experience required
- Equivalent combination of education and relevant work experience may be considered
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and OneNote
- Proficiency with virtual platforms, including Microsoft Teams and WebEx
- Excellent organizational skills
- Strong attention to detail
- Initiative regarding assigned responsibilities
- Ability to work independently with minimal direction
- Positive attitude
- Ability to multitask and prioritize many activities
- Sensitivity when dealing with confidential information
- Ability to work indoors in a normal office environment
- Ability to remain stationary for long periods
- Ability to operate computers, printers, and other office equipment
- Ability to occasionally move around the office to access files, supplies, and machinery
