About the role

  • Manage CEO calendar and meeting organization
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
  • Screen incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
  • Support preparation of internal communications, including Town Hall presentations and internal emails
  • Manage office supply inventory and overall organization and condition
  • Plan company in-house and off-site activities – team building, celebrations, Board meetings, etc.
  • Manage contract and price negotiations with office vendors and service providers
  • Manage the company T&E budget and ensure accurate and timely reporting
  • Provide general support to visitors and support Leadership Team with key requests
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Manage all event operations (preparing venue, invitations/RSVPs, logistics) and oversee event happenings
  • Work independently on projects from start to finish and handle confidential matters with discretion

Requirements

  • 3+ years’ experience as an Executive Assistant, Personal Assistant, or Front Office Manager
  • Strong written and verbal communication skills
  • Proficient with all MS Office tools
  • Strong organizational and time management skills in a fast-paced environment
  • Ability to operate with autonomy, bringing creative ideas and recommendations to projects
  • Ability to build and maintain budgets
  • Strong collaboration skills
  • Ability to handle confidential matters with utmost discretion
