Accounts Payable

• Promote company core values and foster positive relationships with vendors
• Process vendor invoices accurately and timely
• Manage vendor setup and maintenance (W-9s, ACH details, compliance checks)
• Initiate timely payment of invoices using a variety of payment methods (credit card, check, ACH, wire, call-in)
• Manage Vendor Portals (invoice Retrieval and making payments)
• Reconcile vendor accounts regularly
• Resolve invoice discrepancies and vendor inquiries promptly
• Organize and automate AP processes to drive efficiencies, minimize errors and delinquencies
• Support other finance and accounting personnel as necessary
• Support audits by providing documentation and explanations
• Enforce AP policies and internal controls; identify process improvements
• Takes on additional responsibilities and projects as needed to support the success of the team and organization

Accounts Payable Specialist

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

Accounts Payable Manager

• Oversee daily AP operations, including invoices, reimbursements, and payment processing.
• Ensure timely processing and adherence to SLAs across AP functions.
• Manage and support AP staff, including Analysts and Clerks.
• Monitor workload distribution and team performance.
• Ensure compliance with internal controls, policies, and procedures.
• Oversee payment processes, including review of payment batches and coordination with Treasury.
• Ensure proper segregation of duties across vendor setup, payment preparation, and approvals.
• Partner with Procurement and Treasury to support efficient workflows.
• Monitor AP metrics, including processing timelines, backlog, and error rates.
• Support audit requests and ensure documentation readiness.
• Identify and implement process improvements and automation opportunities.
• Provide reporting and insights to leadership on AP performance.
