Legal Assistant

• Provides client management support for attorney, not limited to written and verbal communications with clients along with maintaining docket and client specific procedures.
• Assists attorney in prosecuting patent applications in the United States and various foreign countries.
• Establishes and maintains patent files: opens files, prepares documents for filing including, patent applications, Preliminary Amendments, Information Disclosure Statements, Responses to Missing Parts, Assignments, Amendments, payments of Issue Fees, etc.
• Reviews all incoming correspondence from U.S. Patent and Trademark Office and foreign associates for essential docketing.
• Maintain clients’ portfolios by being proactive in facilitating communication between attorney and client.
• Maintains and updates docketing log spreadsheet.
• On-going verbal and written communication with attorneys, clients and foreign associates.
• Other administrative tasks and projects as may be assigned.

Patent Prosecution Legal Assistant

• As a CGS Legal Assistant, you will work under the direction of a Supervisory Paralegal or Project Supervisor.
• You will provide litigation and administrative support to a group of United States Attorneys.
• Provide a variety of direct legal support assistance services to include:
• - Receive and review incoming material and independently determines the need for assembly and preparation of a variety of legal documents.
• - Proofread and edit drafts of legal documents such as motions, orders, correspondence, discovery requests and responses, and other pleadings.
• - Electronically file documents on behalf of and at the directive of the attorneys with the appropriate state or federal court.
• - Provide assistance with trial preparation by performing duties such as independently compiling trial notebooks and witness and exhibit lists.
• - Prepare and track grand jury subpoenas and returns.
• - Aid in processing and organizing legal data and other supportive material.
• - Compose original letters that require a good working knowledge of legal procedures and specialized terminology.
• - Perform docketing duties such as opening, updating and closing cases through use of the automated case tracking system.
• - Review bills and invoices and submits to budget office for payment.
• - Maintain calendar of assigned active cases. Track filing, hearing, and trial dates, and scheduling conferences and interviews.
• - Assemble the physical files and electronic files for new cases by filing materials in chronological order.
• - Prepare files for closing by putting the documents in chronological order.
• - Produce a variety of written documents and materials utilizing a wide range of office software applications.
• - When appropriate, provide automated litigation assistance to attorneys in trial preparation and courtroom presentations.

• Serve as the primary coordinator for contract intake, workflow tracking, and document management.
• Manage a high volume of agreements, including:
• Professional services agreements
• NDAs
• Vendor and subcontractor agreements
• Licensing and technology agreements
• Amendments and related documents
• Maintain and continuously improve the contract tracking system
• Assist with initial contract triage by summarizing key terms, identifying non-standard provisions, and escalating risks to the Legal Director
• Support the development and evolution of legal department processes, systems, and policies
• Maintain templates, playbooks, and knowledge management resources
• Build and optimize workflows to ensure consistency, efficiency, and scalability
• Prepare and format legal documents, reports, presentations, and correspondence for internal stakeholders and leadership
• Identify opportunities to improve efficiency through automation, technology, and AI-enabled tools
• Conduct preliminary legal and business research to support decision-making
• Monitor regulatory developments and industry trends, providing concise summaries and actionable insights
• Act as a key liaison between Legal and internal teams to gather information and support contract review and execution
• Build strong cross-functional relationships to facilitate efficient legal support and issue resolution
• Support management of external counsel, including coordinating communications and tracking invoices
• Assist with coordination and administration of internal legal training programs
• Champion the use of AI-powered legal tools, including contract review assistants, document drafting platforms, and research tools, to accelerate the department's output and reduce manual workload.
• Identify opportunities to automate or streamline repetitive legal operations tasks (e.g., contract routing, deadline tracking, template management) by leveraging technology under the Legal Director's guidance.
• Serve as a force multiplier for the Legal Director by taking full ownership of execution-level tasks, ensuring that the Legal Director's time is reserved for high-judgment, attorney-only work.
