Reports to Arizona’s Forest Program Director; responsible for contract, financial and related operations activities for the Arizona Business Unit’s Forest Program
Serves as Contract Manager and coordinates vendor contracting for multiple projects across the Forest Program
Supports preparation of scope of work for vendor contracts and prepares internal documents associated with vendor contracts
Assesses contract risk factors and coordinates communication with legal, Grants, and Contracts staff
Collaborates with Grants staff for public awards and with Contracts staff for private funds
Supports vendor selection and engages directly with contractors under guidance of Program Director and external partners
Approves invoices, addresses discrepancies, communicates approvals for coding and payment, and maintains systems to identify late or missing invoices
Develops and maintains tracking systems for projects, including tracking project cost against contracts and progress towards deliverables
May become a TNC certified contracts specialist and share responsibilities with Arizona Operations / grant staff
Supports development, modification, reporting, and budgeting of Program agreements (federal, public, private)
Participates in Forest Program, Operations, AZ Business Unit, Division, Regional and TNC-wide meetings, trainings, and administrative tasks
Prepares manual and automated reports and forecasts; processes forms; completes expense reports, timesheets, objective setting, and performance self-evaluations
May support office management functions and take meeting notes
Ensures compliance with Conservancy policies and external requirements; performs analysis, research, and problem-solving
May supervise operations staff, volunteers, interns, or temporary staff
Occasionally travel within Arizona (including overnight at least twice annually) and occasional overnight travel to other U.S. locations; occasional long hours, evenings, weekends or holidays; occasional lifting up to 25 pounds
Requirements
Bachelor’s degree and 3 years’ related experience or equivalent combination
Organizing and tracking data, generating reports and interpreting data
Working with computers and related software, such as Windows, Microsoft Office (Outlook, Excel and Word), “Box”, Teams, web browsers and internet research
Business writing, editing, and proofreading
Organizing time and managing diverse activities to meet deadlines
Coordinating administrative processes
Working and communicating effectively across teams and with a wide range of people
Youth certified (completes TNC training within initial 30 days of employment; annually thereafter)
Valid driver's license
Desired: Five – 7 years’ experience in tracking financial data and product deliverables or working with contracts
