About the role
- Manage a dynamic calendar for the CTO—anticipating needs, prioritizing meetings, and ensuring time is aligned with key objectives.
- Coordinate internal and external communications—drafting correspondence, scheduling meetings, and ensuring timely follow-through.
- Prepare for meetings by compiling background materials, agendas, and action items that enable informed decision-making.
- Serve as a liaison between the CTO and cross-functional teams, stakeholders, and partners—ensuring clear and professional communication.
- Monitor and track key initiatives, helping ensure progress, follow-up, and alignment with strategic priorities.
- Coordinate domestic and international travel logistics, including detailed itineraries and contingency planning.
- Maintain the highest level of confidentiality and discretion in all communications and operational tasks.
- Support the front desk experience on occasion, including welcoming guests and coordinating visitor logistics.
- Serve as backup to the Office Manager when needed—helping with office supply restocking, lunchroom upkeep, and basic vendor coordination.
- Assist in maintaining workplace security procedures such as managing badge access or liaising with facilities or IT.
Requirements
- 5+ years of experience in executive support roles, ideally within high-growth technology or engineering environments.
- Proactive, resourceful, and adaptable—comfortable taking initiative and solving problems independently.
- Excellent verbal and written communication skills; ability to interface confidently across teams and levels.
- Highly organized, detail-oriented, and able to manage multiple priorities with professionalism.
- Experience managing sensitive information with discretion, accuracy, and trust.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneNote, Teams).
- Bachelor’s degree in Business, Communications, or a related field is preferred but not required.
