Bookkeeper

• Determine your smart goals (1-2 goals) to meet BudgetEase’s quarterly objectives
• Give priority to your smart goals daily
• Follow-up on Leads
• Discuss our services with small businesses interested in using BudgetEase’s services
• Collect information to prepare Estimates/Proposals
• Determine if lead is a good fit for BudgetEase using grading system
• Prepare Estimate
• Follow-up on Estimates within a week to maintain a 40% closes rate
• Review e-mail and newsletter suggestions from agency
• Assist in generating blog ideas and polish blogs written by outside consultant
• Review candidates
• Coordinate new employee training
• Approve payroll
• Manage employee review process
• Coordinate generating and updating easy to understand, accurate corporate processes
• Provide training specialized by team member
• Review new apps that would be helpful to BudgetEase and/or our clients, make recommendations
• Update agendas for Team and Leadership meetings and maintain schedule and invite participants
• Meet with fellow team leaders and President weekly to strategize best practices and plan implementation
• 121 with President bi-weekly
• Participate in Quarterly full day planning meetings
• Participate in mandatory daily huddle and weekly Team Meetings
• Collaborate with other Team Leaders
• Keep President informed when you have time in your schedule for more work
• Meet commitments on a timely basis or ask for help from President or team
• Work independently on a flexible schedule between 8AM and 6PM, Monday-Friday
• Respond to e-mail requests & texts within 24 hours
• Enter time in Ebillity in accordance with the Time Reporting Procedure
• Keep Outlook calendar current with obligations
• Present QuickBooks or bookkeeping training programs
• Be punctual

Operations Manager

• Coach/Mentor Team Members - Currently 2-4 members on a team
• Meet with members of your team weekly to discuss their needs and progress with clients
• Provide Back-Up
• On-board new team members so they understand our processes, are competent working with clients, and feel good about working at BudgetEase
• Assure Quality Delivery to Clients
• Monitor delivery of service by the team
• Assist your team in meeting client delivery standards
• Provide training specialized by team member
• Develop and maintain expert status
• Learn best practices
• Develop knowledge and skills on specialized apps and solutions
• Deliver client service, focusing on consulting, QuickBooks set up, problem solving, report review and client training
• Communicate educational/training needs & interests to your Team
• Research solutions/applications to address client/team needs/questions
• Acquire one new skill a month
• Attend 2-3 meetings a week
• Collaborate with Leadership Team
• Work independently on a flexible schedule between 6AM and 6PM, Monday-Friday
• Respond to client requests & texts within 24 hours
• Enter time in Ebillity in accordance with the Time Reporting Procedure
• Keep Outlook calendar current with obligations
• Present QuickBooks or bookkeeping training programs

Small Business Bookkeeping Team Leader – Client Accounting Services

• Maintain flexibility and adapt to dynamic work environment(s)
• Be an efficiency champion, on the lookout for challenges and implementing better systems
• Strive for excellence when delivering services to 5-15 on-going clients
• Manage Clients
• Stay informed of clients’ needs
• Look for and suggest cost effective solutions to clients
• Provide client service in a timely and professional manner
• Communicate questions and concerns to Team Leaders as needed for assistance
• Document Weekly/Monthly/Quarterly to-does based on clients’ needs in Client Hub our project management system.
• AR/AP maintenance, bank reconciliation, journal entries, data entry into QuickBooks, preparation of reports, maintain commission schedules, maintain grant and other higher-level accounting functions, enter payroll, manage cash flow, understand the differences in QBs files, prepare and enter budgets, catch-up QBs files.
• Train Continuously
• Communicate educational/training needs & interests to your Team Leader
• Research solutions/applications to address client needs/questions
• Collaborate with Team
• Share innovative ideas and practices with co-workers at company meetings and as needed
• Provide backup and/or assistance to co-workers when time allows
• Ask questions/request feedback from others

• Keep Outlook calendar current with obligations
• Be punctual. Keep client/team member informed if you are late for an appointment
• Keep CEO and Team Leader informed when you have time in your schedule for more work

• Dress appropriately for virtual calls with clients and team
• Work independently on a flexible schedule between 6AM and 6PM, Monday-Friday
