About the role
- Lead, mentor, and develop a team of Deal Coordinators, ensuring adherence to established standards and SLAs.
- Monitor performance metrics, provide coaching, and conduct regular feedback sessions.
- Foster collaboration between Deal Coordinators, Transaction Managers, and cross-functional partners.
- Partner with TM leadership to identify tasks suitable for offshoring and develop implementation plans.
- Continuously evaluate workflows to increase efficiency, accuracy, and scalability.
- Document best practices and create process guides to support both onshore and offshore execution.
- Oversee the end-to-end deal coordination process, ensuring accurate and timely task completion, including:
- Document drafting (PSA, Lease, and related agreements).
- Opening checklist execution (PSA review, title onboarding, asset allocation, EMD and TQ requests).
- Data entry (information capture from Rextera reports, HOA follow-ups).
- File management (uploading HOA docs, amendments, and other key transaction documents).
- Ensure all files meet compliance and documentation standards.
- Act as a subject matter expert on transaction workflows and assist with escalations or complex deal scenarios.
- Learn and support the nuances of portfolio transaction management to enable cross-functional coverage and strategic process alignment.
- Collaborate with TM leadership to integrate portfolio-specific processes into deal coordination workflows.
Requirements
- Bachelor’s degree in business, real estate, or related field preferred.
- 3–5+ years of experience in real estate transaction coordination or management.
- 1–2 years of team leadership or supervisory experience preferred.
- Strong understanding of transaction documentation (PSA, leases, amendments).
- Excellent organizational, communication, and problem-solving skills.
- Experience working with CRM or transaction management platforms (e.g., Rextera) is a plus.
- Proven ability to manage multiple priorities in a fast-paced environment.
