About the role

  • Manage complex calendars and scheduling for multiple executives, ensuring priorities are aligned and conflicts are proactively resolved.
  • Coordinate travel arrangements, including flights, lodging, transportation, and detailed itineraries.
  • Serve as the primary point of contact for executive communications; screen and prioritize emails, calls, and correspondence.
  • Prepare, proofread, and format presentations, reports, agendas, and other executive-level materials.
  • Support board meetings and leadership meetings, including scheduling, agenda preparation, materials distribution, and follow-up actions.
  • Coordinate internal and external meetings, conferences, and events.
  • Track action items, deadlines, and follow-ups on behalf of the executive team.
  • Prepare and manage expense reports and basic financial tracking.
  • Maintain highly organized document management and filing systems.
  • Liaise with internal departments and external partners to facilitate effective communication.
  • Support special projects and ad hoc initiatives as assigned by executive leadership.
  • Handle confidential, sensitive, and proprietary information with discretion and professionalism.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Minimum of 3–5 years of experience supporting senior management or C-suite executives.
  • Demonstrated experience managing calendars, travel, and executive communications.
  • Experience supporting multiple executives simultaneously is highly preferred.
