About the role
- Coordinate and manage the medical provider’s calendar, including appointments, meetings, and personal engagements.
- Serve as a liaison between the medical provider and patients, ensuring smooth scheduling and handling of inquiries.
- Prepare correspondence, organize and maintain records (digital and physical), and support documentation needs.
- Manage and maintain confidentiality of patient records in compliance with HIPAA and other relevant regulations.
- Plan and book travel, including flights, accommodations, and itineraries for professional and personal trips.
- Track and report expenses, prepare reimbursement requests, and oversee financial records related to the medical provider's work and personal activities.
- Act as the primary contact point for internal and external communications.
- Conduct research on healthcare topics, practice improvements, or personal interests, and compile findings for review.
- Support with errands and household tasks as needed.
- Fulfill other responsibilities as requested to ensure the smooth operation of the medical provider’s daily activities.
Requirements
- Bachelor’s degree preferred; equivalent work experience considered.
- Experience in a similar role, preferably within a healthcare setting.
- Exceptional organizational skills and ability to prioritize in a fast-paced environment.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems.
- Ability to maintain strict confidentiality and handle sensitive information.
- Demonstrated problem-solving skills and a proactive approach to task management.
- Flexibility to adapt to evolving priorities and unexpected changes.
- A professional, positive, and approachable demeanor.
