About the role

  • Coordinate and manage the medical provider’s calendar, including appointments, meetings, and personal engagements.
  • Serve as a liaison between the medical provider and patients, ensuring smooth scheduling and handling of inquiries.
  • Prepare correspondence, organize and maintain records (digital and physical), and support documentation needs.
  • Manage and maintain confidentiality of patient records in compliance with HIPAA and other relevant regulations.
  • Plan and book travel, including flights, accommodations, and itineraries for professional and personal trips.
  • Track and report expenses, prepare reimbursement requests, and oversee financial records related to the medical provider's work and personal activities.
  • Act as the primary contact point for internal and external communications.
  • Conduct research on healthcare topics, practice improvements, or personal interests, and compile findings for review.
  • Support with errands and household tasks as needed.
  • Fulfill other responsibilities as requested to ensure the smooth operation of the medical provider’s daily activities.

Requirements

  • Bachelor’s degree preferred; equivalent work experience considered.
  • Experience in a similar role, preferably within a healthcare setting.
  • Exceptional organizational skills and ability to prioritize in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems.
  • Ability to maintain strict confidentiality and handle sensitive information.
  • Demonstrated problem-solving skills and a proactive approach to task management.
  • Flexibility to adapt to evolving priorities and unexpected changes.
  • A professional, positive, and approachable demeanor.
